These Terms & Conditions are a working draft for review before publication. They are designed to support clear communication with parents and carers when booking Horizon Kids Club sessions through MagicBooking.

About Horizon Kids Club

Horizon Kids Club provides structured school holiday programmes for children aged 8 to 12 in Berkhamsted. Our club is designed to offer safe, active and enjoyable holiday care, with a varied programme of sports, swimming, creative activities, team games and optional off-site experiences.

By making a booking, parents and carers confirm that they have read, understood and agreed to these Terms & Conditions.

Bookings and MagicBooking

All bookings must be made through MagicBooking unless Horizon Kids Club confirms otherwise in writing. MagicBooking is used to manage bookings, child information, emergency contacts, authorised collectors, payment information and additional booking options.

  • Parents must create or log into their MagicBooking account before booking a place.
  • Bookings are subject to availability and are not guaranteed until confirmed through MagicBooking.
  • Parents must provide accurate and up-to-date information for each child, including medical needs, allergies, SEND or additional support needs, emergency contacts, authorised collectors and collection password.
  • Any changes to child details, medical information, contact numbers, authorised collectors or collection password must be updated in MagicBooking before the child attends.
  • Horizon Kids Club may refuse attendance or delay sign-in where essential information is missing, incomplete or unclear.

Fees, Payment and Discounts

The standard holiday club day is charged at £50.00 per child, per day, unless otherwise stated at the time of booking.

Horizon Plus

Horizon Plus is an optional extra for families who need longer hours. It must be selected through the Extra Options section in MagicBooking when booking, subject to availability.

  • Early drop-off runs from 8:00am to 9:00am and costs £7.00 per session.
  • Late collection runs from 5:00pm to 6:00pm and costs £7.00 per session.
  • Both early drop-off and late collection on the same day can be booked for £10.00.
  • Horizon Plus does not apply after 6:00pm.

Optional Off-Site Add-Ons

Optional off-site add-ons may include DJ’s Jungle, horse riding, Leighton Buzzard Steam Railway and narrow canal boat trips. Add-ons are available for an additional charge starting from £5.00 per activity.

  • Optional add-ons must be selected at the time of booking through the Extra Options section in MagicBooking.
  • Add-ons are subject to availability, group numbers, weather, transport arrangements and operational suitability.
  • The timetable shown is a sample rotation. While the structure remains the same, activities may vary each week.
  • If Horizon Kids Club cancels an optional add-on, Parents may be offered a credit note, alternative activity or refund for the add-on charge only, depending on the circumstances.

Cancellations, Changes and Credit Notes

Parents should contact Horizon Kids Club as soon as possible if they need to cancel or change a booking. Any changes are subject to availability and must be confirmed by Horizon Kids Club or processed through MagicBooking.

Cancellation by Horizon Kids ClubIf Horizon Kids Club cancels a session or activity, parents will be offered a credit note, alternative booking date or refund for the cancelled session or activity.

Credit notes are not cash refunds. They must be used within the period stated when the credit note is issued and are subject to future session availability.

Arrival, Collection and Late Collection

Children must be signed in and out by a Parent or authorised collector. Children will only be released to adults listed as authorised collectors in MagicBooking. A collection password must be set on the account and may be requested at pick-up.

  • Parents must update authorised collector details in MagicBooking if someone different will be collecting their child.
  • The authorised collector must know the collection password set on the account.
  • Parents should contact Horizon Kids Club immediately if they are delayed.

Parent Responsibilities

Parents are responsible for making sure Horizon Kids Club has accurate and up-to-date information before their child attends.

  • Provide full and accurate child, parent, medical, allergy, SEND and emergency contact information during booking.
  • Ensure their child arrives with a nut-free packed lunch, snacks, refillable water bottle, suitable clothing and swimming kit.
  • Label belongings clearly with the child’s name.
  • Make sure the child is collected on time by an authorised collector.
  • Inform Horizon Kids Club in advance of any changes that may affect the child’s care, safety or participation.
  • Treat staff, children and other families respectfully at all times.

Child Behaviour and Expectations

Horizon Kids Club aims to provide a safe, kind and positive environment for every child. Children are expected to follow staff instructions and treat others with respect.

  • Unsafe, aggressive, bullying, discriminatory or seriously disruptive behaviour will not be accepted.
  • If behaviour causes concern, staff may speak with the child, contact the parent or agree a support plan where appropriate.
  • If a child’s behaviour places themselves, other children or staff at risk, Horizon Kids Club may ask for the child to be collected and may refuse future bookings.

SEND, Disabilities and Additional Support

We aim to create an inclusive environment where every child feels welcome and supported. If a child has additional needs, parents must share full details during the booking process and contact Horizon Kids Club in advance.

  • This helps the team understand the child’s needs and consider how best to support their experience.
  • Horizon Kids Club does not routinely provide one-to-one support within its standard staffing model.
  • If a child requires one-to-one or additional support, parents must arrange for their own care worker to attend with them.
  • Where a child attends with a care worker, Horizon Kids Club may require relevant documentation, such as DBS check details and photo identification.
  • If Horizon Kids Club feels it cannot safely meet a child’s needs within standard staffing ratios, this will be discussed with parents and suitable options will be explored.

Health, Illness, Allergies and Medication

Parents must provide full details of any medical needs, allergies, dietary requirements, medication or health conditions before their child attends.

  • Horizon Kids Club is a nut-free setting. Parents must not pack foods containing nuts.
  • Children should not attend if they are unwell or unable to take part safely in the day’s activities.
  • If a child becomes unwell during the day, Horizon Kids Club will contact the parent and may ask for the child to be collected.
  • Medication must be clearly labelled and handed to staff. Parents must provide clear written instructions for any medication required during the day.
  • In an emergency, Horizon Kids Club will take appropriate action, including contacting emergency services where necessary.

Safeguarding

Safeguarding is a priority at Horizon Kids Club. Staff are enhanced DBS-checked and receive ongoing safeguarding training. Clear safeguarding procedures are followed to help keep children safe.

  • Any safeguarding concerns will be recorded and managed in line with Horizon Kids Club safeguarding procedures.
  • Where required, concerns may be shared with Children’s Services, safeguarding partners, the police, the Local Authority Designated Officer or other relevant agencies.
  • Parents must follow site safety, sign-in, collection and safeguarding procedures at all times. Please read our Safeguarding Policy for more information.

Activities, Timetables and Swimming

Horizon Kids Club provides a varied programme of activities. Timetables are planned carefully but may change due to weather, staffing, safety, venue availability, transport arrangements or other operational reasons.

  • Swimming is included within the standard programme and children should bring suitable swimming kit.
  • Alternative activities may be provided where appropriate if a child does not take part in swimming or another activity.
  • Children must follow staff instructions during all on-site and off-site activities.

Personal Belongings

Children should not bring valuables to Horizon Kids Club. Belongings should be clearly labelled. Horizon Kids Club is not responsible for lost or damaged personal items unless caused by negligence.

Photography, Marketing Consent and Data Protection

Photography and video may only be used where appropriate consent has been given. Consent is managed during the booking process and can be updated or withdrawn by contacting Horizon Kids Club.

Personal information is collected and used to manage bookings, support safe attendance and communicate with Parents. MagicBooking is used to support registration, bookings and payment processing. Data is handled in line with Horizon Kids Club’s Privacy Policy.

Emergency Closure or Changes

Horizon Kids Club may need to close, cancel or change a session due to circumstances outside its control, including severe weather, site closure, illness outbreak, transport disruption, safety concerns or other emergencies. Where Horizon Kids Club cancels a session, Parents will be offered a credit note, alternative booking date or refund for the cancelled session.

Complaints and Feedback

Parents are encouraged to raise any concerns with Horizon Kids Club as soon as possible so they can be resolved quickly and appropriately. Complaints can be made by contacting info@horizonkidsclub.co.uk or calling 01442 601402.

Horizon Kids Club’s Ofsted registration is currently in progress. Until registration is complete, Horizon Kids Club will continue to follow clear safeguarding procedures, safe recruitment practices and careful supervision arrangements.
